Time Away Request

If you are interested in taking a time away for Spring 2026, please complete the Time Away Inquiry Form below.

TIP: If you are planning to take time away, please resolve any matters that could result in additional fees. Return your library books, parking pass, mailbox key, etc. If in campus housing, completely move out of the dorm room and return the room key.

The Spring 2026 time away inquiry form is now open. The Fall 2026 time away inquiry form will be posted after Spring LDOC. If you have questions about the time away process or want to begin planning your time away, please email timeaway@duke.edu.

Checklist for Students Requesting Mid-Semester Time Away*

* After a semester has started, students may request only medical leave or voluntary withdrawal

  1. Email timeaway@duke.edu to schedule an appointment to learn about time away options and policies.
  2. If you are receiving financial aid, contact the financial aid team to discuss policies surrounding withdrawal partway through a term.
  3. Review the Tuition Withdrawal Adjustment Schedule which will determine the amount of tuition owed for the semester.
  4. If you are an International Student, contact Duke Visa Services right away so they can provide information about how time away will impact your visa status and timelines for leaving the U.S. Duke Visa Services can be contacted at (919) 681-8472 or visahelp@mc.duke.edu.
  5. Once you decide that you wish to request a time away, complete the Time Away Inquiry Form (above). The date you fill out the form may not be your official notification date.
  6. If you live in campus housing, contact housing@duke.edu and reach out to your Residential Coordinator to let them know of your plans. (You can find your Resident Coordinator's contact information here). Generally, when students residing on campus request a time away during the course of the semester, they are provided 72 hours to move off of campus. The Time Away Office will help you develop a move out plan. Please remember to turn in the key to your dorm once move out has happened.
  7. Contact the Bursar's Office and settle any financial obligations you may have. The Bursar's Office can be contacted at (919) 684-3531 or bursar@duke.edu.
  8. Check the Duke Student Health Insurance Plan website for answers related to the Duke Student Health Insurance. The Duke Student Health insurance plan is purchased for the entire academic school year and the plan runs from August 1 to July 31.   
  9. Turn in your Duke Campus Mail Services mailbox key. This will prevent you from getting charged in upcoming semesters for your mailbox and replacement keys.
  10. Reach out to Duke Parking & Transportation to return your parking pass or cancel your parking so you will not be charged for future semesters.
  11. If you have student loans, check in with the Student Loan Office to find out when your repayment window will start. It typically starts six months after your time away has been processed.

    Checklist for Students Requesting Time Away for a Future Term

    1. If you are an International Student, be sure to contact Duke Visa Services as soon as you decide to take a time away so they can assist with Visa status, filing and questions pertinent to your leave. Duke Visa Services can be contacted at (919) 681-8472 or visahelp@mc.duke.edu.
    2. Optional: Email timeaway@duke.edu to schedule an appointment to learn about time away options and policies.
    3. Complete the Time Away Inquiry Form. Please be sure that you are filling out the form for the correct term. The Fall form is posted the day after Spring LDOC, and the Spring form is posted the day after Fall LDOC.
